Career Mentoring Scheme Privacy Notice

The Career Mentoring Scheme is facilitated to connect IET members and enable the sharing of professional knowledge and experiences.

Participants will be subject to the IET member Rules of Conduct and will be obliged to agree and adhere to the Career Mentoring Scheme Terms and Conditions.

IET members involvement in the Career Mentoring scheme is completely voluntary and participants may withdraw from the IET Career Mentoring Scheme at any time.

IET members over the age of 18, may be invited to take part in the Career Mentoring Scheme. If you are invited to use the Career Mentoring Scheme by email, this will be on the basis of either legitimate interest or because you have consented to receive this type of marketing communication from us. You have the option to unsubscribe or change your preferences. Please see section below ‘your data protection rights’.

What personal data will we collect?

A link to a form will be provided allowing IET members to express an interest in taking part in the Scheme. You will be asked to provide your name, IET membership number, career stage, career industry, mentoring subject of interest or subject areas willing to provide mentoring on. The IET will then use this information to administer Scheme participants.

IET members who wish to be Scheme mentors will be asked to follow IET volunteer policies and procedures, which may include completion of IET training modules.

The IET will use the Perform Learn Develop platform supplied by the IET contracted supplier PLD (Perform Learn Develop Ltd) The Old Workshop, 12b Kennerleys Lane, Wilmslow, Cheshire, SK9 5EQ. Participants will be provided access to Perform Learn Develop (‘PLD’) system and will be asked to create a login. Participants will be provided the IET Career Mentoring Scheme Terms & Conditions that must be agreed to by completing the tick box, as well as your consent for personal data transfer.

Participants will create a profile which may include first name, subject area of interest they want to be mentored or subject areas willing to mentor, career stage, industry, discipline.

This profile information will be accessible to other scheme participants as applicable. Using this profile information a participant may select a mentor. An automated message will be sent to that mentor which they may either accept or decline. When a mentor and mentee are matched, they may communicate within the PLD platform.

The IET may monitor to ensure that Scheme activity is conducted in accordance with the IET Career Mentoring Scheme Terms and Conditions. Further personal data processing by the IET may include; for the purpose of safeguarding, support requests or complaints handling, which may extend to IET member Disciplinary Policy process.

The IET Career Mentoring Scheme Terms and Conditions obliges participants not to share or disclose identifiable personal information or sensitive, special category personal information and to maintain confidentiality.

During the course of the Scheme mentors and mentees may be asked to complete surveys about their use of the Scheme to allow the IET to address areas of improvement.

Under legitimate interest, the IET may contact those IET members who have expressed an interest in mentoring within the Scheme to provide details of other IET volunteering opportunities.

Lawful basis

Under the UK General Data Protection Regulation (UK GDPR), the lawful basis we rely on for processing your personal information are:

  • We have a contractual obligation.
  • We have a legitimate interest.
  • Explicit consent for cross border transfers (where applicable)

The personal data you choose to share in mentor/ mentee discussions will be at your own discretion. Whilst participants are asked not to share any confidential data or personal data that may be considered sensitive or special category, if you do so this will be at your own
risk.

How we store your personal information

Your information is securely stored. At the end of your Scheme participation, we will keep only the relevant and necessary personal data to meet our contractual obligation with you, in accordance with our retention policy. We will maintain anonymised survey data. Any personal data processed relating to complaints will be handled under the IET member Disciplinary Policy and retention period. We will then securely dispose or delete your personal information including that held by our contracted supplier.

Transfers of personal data

As the Career Mentoring Scheme is open to IET members globally the IET will ensure that where the Career Mentoring Scheme platform use is considered a restricted transfer, appropriate safeguarding mechanisms or derogations are implemented if applicable. Users
are provided a tick box to give explicit consent to processing personal data in UK and the country location of the chosen mentor. The transfer is necessary for the performance of a contract (the Career Mentoring Scheme terms and Conditions) between the data subject and the controller.

Your data protection rights

Under data protection law, you have rights including:

  • Right of access - You have the right to ask us for copies of your personal information.
  • Right to rectification - You have the right to ask us to rectify personal information you
    think is inaccurate. You also have the right to ask us to complete information you
    think is incomplete.
  • Right to erasure - You have the right to ask us to erase your personal information in
    certain circumstances.
  • Right to restriction of processing - You have the right to ask us to restrict the
    processing of your personal information in certain circumstances.
  • Right to object to processing - You have the right to object to the processing of your
    personal information in certain circumstances.
  • Right to data portability - You have the right to ask that we transfer the personal
    information you gave us to another organisation, or to you, in certain circumstances.
  • Right to withdraw consent.

How to complain

If you have any concerns about our use of your personal information, you can make a complaint to us at compliance@theiet.org

You can also complain to the UK Information Commissioners Office (ICO) if you have reason
to believe the IET has not acted in accordance with data protection law by visiting the ICO website or in writing to: Wycliffe House, Water Lane, Wilmslow, Cheshire, UK, SK9 5AF.

If you are an EU/EEA resident you can contact the IET’s GDPR Representative in the EU - European Data Protection Office (EDPO) by using EDPO’s online request form or by writing to EDPO at Avenue Huart Hamoir 71, 1030 Brussels, Belgium.
