Terms and conditions

1 The Promoter

The promoter is The Institution of Engineering and Technology of Futures Place, Kings Way, Stevenage, Herts., SG1 2UA, United Kingdom (the “IET”).

2 The competition

2.1 The title of the competition is #PresentIn10 (the “Competition”). This is a virtual competition, where entrants must give a presentation in up to 10 minutes (the “Presentation”).

2.2 The Competition is divided into three categories (each a “Category”). The Categories are: i) Sustainability and Climate Change; ii) Digital Futures; and iii) Healthy Lives.

2.3 For each Category there are three stages (each a “Stage”).

2.4 Within each Stage, there are a number of heats (each a “Heat”). All Presentations delivered during a Heat must be delivered live (via Zoom). The Presentations will be recorded.

2.5 The winners of each Heat progress to the next Stage, with the winners of Stage 3 progressing to the final (the “Final”). All Presentations at the Final must be pre-recorded (with IET.tv) by 1 November 2022. The recorded Presentations will be played at The Young Professionals Summit taking place on 12 November 2022 in London, United Kingdom (the “Event”).

2.6 The table below summaries the structure of the Competition:

2.7 The same Presentation must be delivered at each Stage, and where applicable, the Final. However, a Presentation may be tweaked to address any feedback given by the Panel.

3 How to enter

3.1 You must read these Terms and Conditions before deciding whether to enter the Competition. By registering for the Competition, you are agreeing to be bound by these Terms and Conditions.

3.2 Internet access is required. No purchase is necessary and there is no charge to enter the Competition.

3.3 To enter the Competition, you must register in your chosen Category on the website at www.theiet.org/involved/young-professionals/iet-presentin10-competition (the “Website”).

3.4 Registration opened at 09.00 BST on 6 June 2022 (the “Opening Date”) and closes at 23.59 BST on 25 August 2022 (the “Closing Date”) inclusive.

3.5 You must register to participate in the Competition by the Closing Date. You will not be allowed to participate if you register after the Closing Date and will automatically be disqualified.

3.6 As part of the registration process, you will be able to choose the time of the Stage 1 Heat you would like to participate in. Stage 1 Heats are booked on a first come, first served basis.

3.7 Stage 2 and Stage 3 Heat are allocated by the IET. If you are unable to make the Heat allocated, the IET will try offer you an alternative date (but is not obliged to do do). If you cannot make the Heat allocated or you fail to attend, you will be disqualified from the Competition.

4 Eligibility

4.1 The Competition is open individuals aged 18 to 35 (at the time of registration), except:

4.1.1 employees of the IET or its holding or subsidiary companies;

4.1.2 employees of agents or suppliers of the IET or its holding or subsidiary companies, who are professionally connected with the Competition or its administration; or

4.1.3 members of the immediate families or households of 4.1.1 and 4.1.2 above.

4.2 By entering the Competition, you confirm that you are eligible to do so and eligible to claim the prize(s) you may win. The Promoter may require you to provide proof that you are eligible to enter the Competition.

4.3 There is a limit of one entry to the Competition per person.

4.4 You can only enter one Category. If you register for more than one Category, your first registration will progress and all other registrations will be void.

4.5 You cannot submit an entry on behalf of another person and joint submissions are not allowed.

4.6 The IET reserves all rights to disqualify you from the Competition if: i) your conduct is contrary to the spirit or intention of the Competition; ii) you are found to be tampering with the registration process or operation of the Website; iii) you approach any of the judges to discuss the Competition and/or your Presentation; or iv) you are considered to have acted in any manner that is deemed to be or otherwise is in violation of these Terms and Conditions.

5 Judges, judging and winner announcements

5.1 For the Heats:

5.1.1 Each Heat will be judged live by a panel of three judges (a “Panel”). Each Panel will be made up of IET volunteers who are also industry experts and/or IET staff members. Each Panel for each Heat may be different.

5.1.2 The names of the judges comprising the Panel for your Heat will be communicated to you one week in advance. Should you know any of the judges in any capacity (personal or professional), you must declare a conflict of interest to the IET, and you will be moved to another Heat (within that Stage).

5.1.3 Each Presentation at each Stage will be judged by the Panel according to the same criteria, which is as follows (the “Criteria”):

Virtual Presence [10 points]

    • Professional appearance (dress code is smart)
    • Is the presenter clearly visible? For example, is the lighting well balanced?
    • Is the presenter clearly directing their Presentation to the camera and making ‘virtual eye contact?’
    • Has the presenter used an appropriate background? i.e. not cluttered, use of a virtual background?

Voice [10 points]

    • Is clarity and confidence clearly shown through their tone of voice?
    • Is the presenter speaking clearly and at a good volume for the virtual platform?
    • Is the presenter pausing too frequently with noticeable time gaps in their speech?
    • Is the presenter using variations in their tone to generate impact in certain parts of their presentation?

Slide Deck [10 points]

    • Is there a good balance of content on the slides?
    • Are the presenter’s slide text heavy? Are they reading rather than presenting?
    • Are the slides appropriate for what the presenter is talking about? Are they relevant?
    • Has the presenter used an effective method of showing information? For example, statistics or images relating to their topic.

Time Management [10 points]

    • Has the presenter managed their time appropriately? Too short or too long?
    • Was there a natural progression throughout the presentation?
    • (Note: consider an allowance for dropped connection if appropriate)

Audience Impact [10 points]

    • Has the presenter engaged with the audience?
    • Have they used audience engagement tools? For example, use of polls, use of digital tools such as the annotation function on Zoom.

Technical Topic [15 points]

    • Does the presenter show originality in how they have interpreted the topic?
    • Does the presenter show an in-depth knowledge of the topic?
    • Is the presenter well prepared in their topic?
    • Does the presenter show enthusiasm and a keen interest in the topic?

Technical Content [20 points]

    • Does the presenter’s topic fit suitability within the theme?
    • Is the topic presented in an understandable and suitable manner for an audience of different levels of comprehension?
    • Generally, does the Presentation follow a logical structure?
    • Is the introduction of the Presentation effective and cohesive?
    • Is the conclusion of the Presentation effective and cohesive?

Overall [15 points]

    • Was the presenter clear on the objectives for this Presentation?
    • Were the objectives met?
    • Was there a clear impression of a message within the Presentation? Was it understandable?

5.1.4 The total number of points available is 100.

5.1.5 At the end of the Heat, the Panel will be given a ten-minute deliberation period to run through their scoring. For each Presentation, the marks awarded by each judge on the Panel will be aggregated, and then divided by 3, in order to calculate the average score (the “Average Score”).

5.1.6 The winner of each Heat will be the competitor who has scored the highest Average Score for their Presentation. The winner of each Heat will be announced at the end of the Heat and will be published on the Website and IET’s social media channels. The decision of the Panel is final and no correspondence or discussion will be entered in to.

5.1.7 If your internet / Zoom connection is lost during your Presentation, you will have three (3) minutes to reconnect and continue your Presentation, failing which you will be disqualified from the Heat and therefore the Competition. The Panel will continue to judge the Heat based on the remaining participants.

5.2 For the Final:

5.2.1 The Final will be judged by:

5.2.1.1 A Panel against the Criteria (as set out above). The marks awarded by each judge on the Panel will be aggregated, and then divided by 3, in order to calculate the average score (the “Final Average Score”). The Final Average Score will account for 75% of the total marks awarded.

5.2.1.2 The audience attending the Event (the “Audience”). The Audience will be asked for vote for their favourite Presentation. The Audience score will account for 25% of the total marks awarded.

5.2.2 The Final Average Score and the Audience score will be aggregated (based on the relevant percentages as set out above), and the winner of the Final will be the Presentation which scores the highest mark. The winner of the Final will be announced at the Event and will be published on the Website and IET’s social media channels. The decision of the Panel and Audience will be final and no correspondence will be entered in to.

5.2.3 The names of the judges comprising the Panel for the Final will be communicated to you one week in advance. Should you know any of the judges in any capacity (personal or professional), you must declare a conflict of interest to the IET, and the IET will appoint a replacement judge.

5.3 A list of the winners for each Heat and the Final can be viewed on the Website for a period of 30 Days from 12 November 2022.

6 The prize

6.1 The prize for the winner at each Stage of the Competition and for the Final is set out in the table below:

6.2 Each prize:

6.2.1 is subject to availability.

6.2.2 is supplied by the IET. The IET reserves the right to replace the prize with an alternative prize of equal value if circumstances beyond the IET’s control makes it necessary to do so.

6.2.3 is not negotiable or transferable and excludes any additional costs and expenses. Each winner is responsible for all applicable taxes and expenses not specified in the description of the prize above.

6.2.4 is paid in pound sterling (GBP) and the IET will not be responsible for any fluctuations that might be incurred due to the exchange rate.

6.3 Whilst the winners of the Stage 3 Heats are strongly encouraged to attend the Final, it is not obligatory. Should the winners decide not to attend, they will not receive the travel and accommodation element of the prize as set out in the table above.

7 Claiming the prize

7.1 After each Heat and the Final, the IET will contact each winner personally as soon as practicable using the email address provided during the registration process. The IET will supply an Awards and Prizes form (the “Form”), which must be completed by each winner and returned to the IET within 30 days of the date of the relevant Heat or Final (the “Deadline”) Payment of the applicable prize amount will be made within 30 days of the IET receiving the completed Form.

7.2 If the Form is not returned to the IET by the Deadline, payment of the prize will not be made by the IET.

7.3 Where a winner confirms that they will be attending the Event for the purposes of the Final, the IET will be responsible for arranging the travel and accommodation, and will liaise with the winner regarding the appropriate arrangements.

7.4 The prize may not be claimed by a third party on a winner’s behalf.

7.5 The IET does not accept any responsibility if a winner is not able, or otherwise fails, to take up the relevant prize.

8 Limitation of liability

8.1 The IET’s liability, howsoever arising, under these Terms and Conditions and/or in connection with the Competition shall be limited to £100. The IET shall not be liable for any indirect, consequential or special damages or losses. The IET does not limit or exclude liability for death or personal injury caused by its negligence or any other losses which cannot be excluded under applicable law.

8.2 The IET does not accept any liability for any failure of hardware, software, computer, or other systems (including the internet), which may result in any failure of the registration process or any information about the entrants or the Competition being lost, damaged, delayed or corrupted in any way.

9 Intellectual property rights

9.1 You will retain all intellectual property rights in your Presentation.

9.2 By registering for and participating in the Competition, you confirm that:

9.2.1 your Presentation is your own original work;

9.2.2 save as set out in clause 9.2.3, you are the sole owner of all intellectual property rights in your entry;

9.2.3 where your Presentation includes third party content, you have permission from the owner of that third party content to include it within your Presentation and you include appropriate acknowledgements;

9.2.4 you are not infringing the intellectual property rights of any third party or breaching any other laws and regulations.

9.2.5 your Presentation does not:

9.2.5.1 contain anything obscene or indecent;

9.2.5.2 contain any nudity, pornography, profanity, threats to any person, place, business or group;

9.2.5.3 invade the privacy or rights of any person, firm or entity; and

9.2.5.4 contain any defamatory statements or words or symbols that are offensive either generally or to individuals of a certain race, ethnicity, religion, sexual orientation or socioeconomic group.

9.3 If you are a winner of a Heat in Stage 3 and progress to the Final:

9.3.1 you will be required to film your Presentation for the Final with IET.tv (the IET’s inhouse production team). In advance of filming, you may be required to sign the IET.tv. Permission to Use Content form, which sets out the IET’s rights to use the recorded content. You will be allowed only one chance to film your Presentation (i.e. you cannot stop and start again, or reperform sections) and the IET.tv team will not edit the recording.

9.3.2 by registering for and participating in the Competition, you grant to the IET non-exclusive, worldwide, royalty-free, and sub-licenceable licence to:

9.3.2.1 use, reproduce and publish your Presentation (including any slide deck) in whole or in part in promotional, press, and marketing materials (print and digital, including the Website and IET social media channels) in connection with Competition (in 2022 and in future years).

9.3.2.2 edit, adapt and modify the Presentation as required for the purposes listed in clause 9.3.2.1.

10 Data protection and publicity

10.1 By registering for the Competition, you:

10.1.1 confirm that the personal details stated as part of the registration process are true, accurate and complete.

10.1.2 agree that any personal information provided by you may be held and used only by the IET, to administer the Competition. (The personal information will be held by the IET in accordance with its data retention policy.)

10.1.3 agree that you/your Presentation can be recorded during the Heats. This recording will only be used in the event that any of the judges on the Panel lose internet connection during your Presentation so that they can re-watch it for the purposes of scoring. The recording will be deleted once the Heat has concluded and the winner of the Heat announced

10.1.4 agree that, if you are a winner of a Heat and, where applicable, the Final, the IET may use your name, image and voice and location as part of the winner announcement (see clause 5.1.6 and clause 5.2.2).

10.2 With your agreement, if you are a winner, you may participate in any reasonable publicity or other reasonable activity related to the Competition, such as interviews, filming and photography. Such publicity would be published on the Website and/or the IET’s social media channels.

11 General

11.1 The IET reserves the right to:

11.1.1 hold, void, suspend, cancel, or amend the Competition where it becomes necessary to do so.

11.1.2 to amend these Terms and Conditions.

11.2 These Terms and Conditions and any issues or disputes which may arise out of or in connection with these Terms and Conditions (whether such disputes or issues are contractual or non-contractual in nature, such as claims in tort, for breach of statute or regulation, or otherwise) shall be governed by and construed in accordance with English law. Entrants hereby irrevocably submit to the exclusive jurisdiction of the courts of England to settle any such dispute or issue.
