Closure of the IET email alias service to new sign ups
1. Why is the IET closing the IET email alias service to new sign ups?
The IET cannot guarantee the delivery of emails going via the IET email alias service due to the cyber security checks being implemented by organisations and mailbox providers (e.g. AOL, Comcast, Hotmail, GMail, Yahoo).
These security checks may result in legitimate emails failing the checks and being rejected at the destination mail box (due to the receiving mailbox provider treating the forwarded emails as suspicious).
2. Who will be impacted by the change to close the IET email alias service to new sign ups happen?
This change will apply to any member wishing to sign up for an email alias account whether this is for a new account or to reopen an old account.

This change will happen with immediate effect.
Unreliability of the Service
1. What is the IET email alias service?
The email alias service is an email forwarding service that allows a member to forward emails to their @iee.org or @theiet.org email address to an email address of their choice. The member cannot send emails from the @iee.org or @theiet.org email addresses.
2. Why can’t the IET guarantee delivery of my emails?
The non-delivery issue does not lie with the IET but is an external issue that impacts all email forwarding solutions. It is caused by a side effect of the cyber security checks being implemented by the sending organisation and the receiving mailbox provider to protect the end user. As the adoption of the cyber security checks increase the risk to the non-delivery of the emails will also increase.
3. Are you offering an alternative email service?
No. If a member wishes to guarantee delivery of their emails they will need to create a new email address with an alternative email provider of their choice (e.g. Gmail or Outlook) and notify their contacts of their new email address.
4. Can I move my @iee.org or @theiet.org email address to a new email provider?
No your @iee.org or @theiet.org email address cannot be moved to another provider.
5. Are you going to terminate the email alias service?
The IET is currently reviewing the long term viability of the email alias service as it can no longer guarantee delivery of the emails due to external security measure outside the control of the IET. The review will be presented to the Membership and Professional Development Board in October for their recommendation.
6. How do I know if I my emails have been rejected?
It is very difficult to know if your emails have been rejected unless you are expecting an email and you do not receive it. Whether you get any form of notification is down to each email provider.
Terms of Service
1. Why are you changing the Terms of Service?
The Membership and Professional Development Board accepts that the IET cannot guarantee delivery of the emails, via the email alias service, due to external factors and has decided to close the service to new sign ups rather than knowingly offer an unreliable service to our members. They have also asked that we inform all affected users of the issues and give them the opportunity to move to a more reliable service. We have therefore updated the Terms of Service to reflect these changes.
1. What are these cyber security measures?
SPF (Sender Policy Framework) shows a list of servers/IPs that should be considered allowed to send mail for a specific domain. DKIM (DomainKeys Identified Mail) verifies that the messages' content are trustworthy, meaning that they weren't changed from the moment the message left the initial mail server. DMARC (Domain-based Message Authentication, Reporting and Conformance) acts on the SPF and DKIM checks and the sending organisation has a clear policy that tells the recipient’s mailbox provider what to do with emails that fail the check (accept, quarantine or reject).
2. Why do the emails sent via the email service fail these cybersecurity checks?
The emails sent via the email alias fail the cyber-security checks due to the SPF check seeing the IET IP addresses as the sender of the email (as the IET forwarded the email on) rather than the IP address of the original sender of the email. This results in the IET IP addresses being checked against the list of authorised list of IP addresses that can send emails from that domain rather than the original sender which results in a failure. The DKIM checks will see the IET has modified the message in transit so also fail. Depending on what DMARC policy has been put in the place by the sending organisation the mailbox provider will either accept quarantine or reject the incoming email.
3. Why do only some of my emails sent via the email service get blocked?
Not all organisations have implemented these cyber security checks yet so email will get delivered. Many of the organisations who have implemented these cyber security checks are monitoring the impact of the change and not taken the final step to make the mailbox providers reject all emails that fail their DMARC policies so the emails are either being accepted and received in the inbox or quarantined and sent to the junk folder. However over the recent months more organisations are changing their DMARC policy rules on to reject this would result in emails via the email alias service being rejected. As the adoption of the cyber security checks increase the risk to the non-delivery of the emails will also increase.
4. What is DMARC, and how does it combat phishing?
DMARC is a way to make it easier for email senders and receivers to determine whether or not a given message is legitimately from the sender, and what to do if it isn’t. This makes it easier to identify spam and phishing messages, and keep them out of peoples’ inboxes.
5. How does DMARC help the End User?
DMARC helps the end user by making it easier for their mailbox provider (e.g. AOL, Comcast, Hotmail, GMail, Yahoo) to keep spam and phishing messages from ever reaching their inbox. At the moment this all happens behind the scenes, just as traditional spam filtering is done – the end user only sees the results, which should be fewer fraudulent messages from domains as they adopt DMARC.
6. Why is DMARC important?
Cyber criminals target individuals, small businesses and large organisations. They compromise user accounts, acquire personal information, and steal passwords, bank account details and credit card numbers. Phishing and malware distribution attacks are common internet security threats, costing organisations and individuals billions of pounds per year globally. By using DMARC, organisations can help protect their customers, employees and reputation from cybercrime.

9. I no longer use my email alias account. How do I close my email alias account?
Please complete email email@example.com to notify the IET that you wish your email alias account to be closed.
10. Why did you contact me?
Our records show that you still have an email alias forwarding service set up with the IET. If you no longer use the service then your account can be closed by emailing firstname.lastname@example.org.
