Event Executive 6 & 11 month FTC

Job Summary

To organise a variety of events as part of the IET’s events programme, working closely with the Technical & Professional Networks department to ensure smooth transition from programme conception to events logistics.  To work within budgets of between £10K to £400K per event, with the assistance of an Events Assistant.

Main Duties and Responsibilities (Not necessarily in priority order) 

•         To be responsible for all aspects of organising specific events for IET Event Services Department and IET Services, (as allocated by the Event Services Manager) including: Liaising with speakers and authors, sponsors and venues. Work with the Technical and Professional Network Manager on technical and social programmes.

•         To attend and support all meetings of event organising committees, sub-committees and exhibition working groups

•         To arrange the supply of, and monitor the progress of, all external and internal requirements for goods and services for your events; to take responsibility for ensuring that delivery is on schedule, to an appropriate quality and within pre-determined cost limits

•         To work with the Marketing Department to market events and exhibitions via traditional outlets and by extensive use of the web

•         To formulate accurate budgets of income and expenditure for approval by the Manager, Event Services; provide statements of total income and expenditure for each exhibition and event, and oversee the preparation of statistical returns

•         To maintain complete and accurate records of the development of each event and exhibition, the decision of its organising committee (where relevant) and their recommendations for future events and exhibitions, and draw to the attention of the Manager, Event Services details and experiences for wider consideration

•         Attend each event you have organized, to ensure professional delivery on site.

•         To supervise a team of staff working your events both in the office and on site at an event

•         To undertake any other duties and projects at the request of the line manager.

•         To be familiar with the Health and Safety and Fire policies for the company and to attend mandatory updates where required

Person Specification

Essential

•         Educated to a minimum of A level standard, or equivalent

•         Previous experience of all aspects of event organisation

•         Excellent administration skills, with the ability to prioritise tasks and meeting strict deadlines

•         Excellent communication, interpersonal and customer service skills with the ability to deal with people at all levels

•         Proven marketing awareness with experience of identifying promotional opportunities for events

•         Business and financial awareness with the ability to identify areas for improvement

•         Sound knowledge of MS Word, Access, Excel, Outlook

•         Able to travel and stay overnight when required.

Desirable 

Event specific Health & Safety trained.
