Community Support Executive

Working directly with volunteers to provide end-to-end support for a range of activities delivered by the IET’s volunteer communities. This role will support empowerment of communities volunteers by providing training and practical support to help them with the logistics, delivery and promotion of their activities.

Hours: 35 hours per week, exclusive of meal breaks, plus as many as required to fulfill the needs of the post

Location: Michael Faraday House, Six Hills Way, Stevenage

Main Duties and Responsibilities

  • Take responsibility for a specific group of communities, working to advise, support and assist volunteers to deliver a range of activities;
  • Provide practical advice, training, support and encouragement for  the range of self-service tools available to them to help with logistics, delivery and promotion of activities, e.g.: online event registration and marketing tool kit;
  • Provide  practical support and guidance on event logistics as required, e.g.: onsite support, advice on venue, room set up, AV and catering requirements;
  • Work with volunteers to create the best possible delegate experience, e.g.: a professional registration service, meeting and greeting, delegate packs, obtaining post event feedback, engaging delegates with content pre and post event;
  • Attend meetings and events to provide guidance, training and input to help support the delivery of programmed activity where required;
  • Provide relevant material and collateral to appropriately brand and support events where appropriate;
  • Advise the volunteers on the range of marketing options available to help them promote their activity, and the timeframe to maximise success;
  • Use Adestra to send promotional emails for communities activities (and when able, switch to providing training to enable volunteers to use Adestra themselves);
  • Ensure volunteers planning call for papers events are aware of, and complying with, the essential quality assurance process – including obtaining contracts and copyright forms;
  • Support volunteers with the planning and scheduling of filmed output, including awareness of copyright issues, if via user generated methods then  provide best practice information and equipment to assist if appropriate;
  • Become a frequent user of MyCommunity and provide practical advice, training and support to volunteers to use the platform;
  • Update and maintain online community spaces within the MyCommunity platform and wider IET website;
  • Help volunteers capitalise on content sharing opportunities via a range of social media platforms;
  • Collate and record all relevant metrics from communities activities - including those not directly managed by staff;
  • To be familiar with the IET’s data protection policies as they relate to staff and volunteers;
  • Comply with data protection legislation and act responsibly on matters of data disclosure both internally and to third parties;
  • To undertake any other duties and projects at the request of the line manager;
  • To be familiar with the Health and Safety and Fire policies for the organisation and to attend mandatory updates where required.

Person Specification

Essential Criteria

  • Confident and experienced in the following areas: logistical support, promotional marketing social media;
  • Ability to effectively prioritise multiple workstreams;
  • Excellent inter-personal skills with the ability to communicate effectively with colleagues and IET Members;
  • A willingness to travel and work occasional evenings/weekends is essential;
    Good customer service awareness and knowledge;
  • Minimum qualifications to A’ Level or equivalent;
  • Strong time management skills, including the ability to work under pressure to deadlines;
  • Conscientious attitude with the ability to act on own initiative and problem solve, with proven pro-active attitude and enthusiasm;
  • Excellent command of written English with attention to detail;
  • High level of IT literacy;
  • Experience in using social media tools and content management systems;

Desirable

  • Interest in engineering/ technology/ business, including knowledge of the current commercial/industrial world;
  • Experience of using HTML.
